Booking terms and conditions

We strongly recommend that you read all the details provided on the website relating to your tour before making a booking, to ensure that you fully understand the itinerary and the tour you are going to undertake.

By making a booking, the person whose name appears first on the booking agrees, on behalf of all persons listed on it, that:

  • They have read these Booking Conditions and our guidelines, and are authorised and agree to be bound by them.
  • They consent to us using their personal data in accordance with our Privacy Policy and are authorised, on behalf of all persons named in the booking, to disclose their personal data to us, including, where applicable, special categories of data such as information regarding health conditions or disabilities and dietary requirements.
  • They are over 18 years of age and, where booking services with age restrictions, confirm that they and all members of the party are of the appropriate age to purchase those services and accept financial responsibility for payment of the booking on behalf of all persons listed on it.

1. Booking and Payment of the Tour

The booking will be confirmed upon payment of 25% of the total cost of the selected tour, or full payment if the booking is made within 60 days prior to departure.

To confirm the booking you must provide all requested details, including:

  • Full name
  • Date of birth
  • Nationality
  • Identification or passport number
  • Issue and expiry dates
  • Any pre-existing medical conditions that may affect your ability to undertake the tour

We reserve the right to return the deposit and refuse to issue a booking confirmation at our absolute discretion.

Some tours will only operate if a minimum number of participants is reached.

A binding contract between you and us is formed when you receive the booking confirmation.

Upon receipt of the deposit or full payment you will be sent:

  • Recommended equipment list
  • Tour notes
  • Information on how to reach the meeting point

Upon receiving the confirmation, you must check that all details are correct. If you identify any errors, you must notify us within a maximum of 7 days from our dispatch.

Final tour instructions will be sent approximately two weeks before the start date.

The remaining balance must be paid at least 60 days before departure. If we do not receive the balance within this period, we may consider the booking cancelled by you and apply the corresponding cancellation charges.

2. Pre-Departure Documentation

Once your booking is confirmed, if requested, you must send us a medical declaration or medical self-assessment form prior to departure.

If the required documentation is not provided, we may consider the booking cancelled by the client and apply the corresponding cancellation charges.

3. Accuracy of Information

We endeavour to ensure that all information and prices published on our website or promotional material are accurate.

However:

  • We reserve the right to correct prices and details at any time.
  • We are not responsible for inadvertent errors or omissions.
  • Published dates, itineraries and prices are indicative.

Prices shown on the website are based on accommodation in a shared twin room. Single accommodation may incur a supplement.

4. Itinerary Flexibility

The nature of this type of tour requires a degree of flexibility.

The itinerary provided is representative of the planned activities, but routes, schedules, services and transport may change due to local circumstances or unforeseen events.

5. Travel Insurance

We strongly recommend taking out travel insurance at the time of booking.

The insurance should cover:

  • Personal accident
  • Death
  • Medical expenses
  • Emergency repatriation

We also recommend including cover for:

  • Cancellation
  • Tour interruption
  • Personal liability
  • Loss of luggage

If you choose to travel without adequate insurance, The Osados will not be liable for any losses.

6. Prices

All prices and payments will be processed in euros (€).

We reserve the right to amend the price of unsold tours and correct errors in confirmed prices.

The price may only increase due to:

  • Increase in fuel costs
  • Changes in exchange rates

If the increase exceeds 8% of the tour price, you may:

  • Accept the change
  • Transfer to another available tour
  • Cancel and receive a full refund

7. Jurisdiction and Applicable Law

These Booking Conditions are governed by Spanish law.

Any disputes will be dealt with by the Courts of Spain.

8. Curtailing Your Tour

If you decide to return before completing the tour, we will not be able to refund unused services.

Depending on the circumstances, your travel insurance may cover this situation.

9. Amendments to Bookings and Transfers

If you wish to amend your booking, you must notify us in writing at:

Changes will be subject to:

  • An administrative fee of €50 per person
  • Any additional supplier costs

No amendments are permitted within 7 days prior to departure.

Places may be transferred to another person if:

  • They meet the tour requirements
  • We are notified at least 7 days in advance
  • All applicable fees are paid

10. Cancellation by the Client

If you decide to cancel your booking, you must notify us in writing.

The following cancellation charges will apply:

  • More than 60 days: deposit only
  • 29 to 60 days: 30%
  • 15 to 28 days: 65%
  • 7 to 14 days: 75%
  • Less than 7 days: 100%

11. Changes or Cancellations by The Osados

We may amend or cancel tours in exceptional circumstances.

Examples of significant changes:

  • Change of accommodation area
  • Reduction in accommodation standard
  • Substantial modification of the itinerary

If a significant change occurs, you may:

  • Accept the change
  • Choose an alternative tour
  • Cancel and receive a refund

12. Force Majeure

We will not be liable for changes or cancellations caused by force majeure, including:

  • War
  • Terrorism
  • Epidemics or pandemics
  • Natural disasters
  • Government decisions

13. Acceptance of Risks

MTB or Gravel tours involve a certain level of risk.

Participants accept these risks and confirm that:

  • They are in suitable physical condition
  • They have the ability to complete the itinerary

14. Age

General minimum age: 18 years.

In exceptional cases, minors aged 12 to 18 may participate when accompanied by a responsible adult.

15. Authority of the Guide

The Osados guide has final authority in matters relating to the safety and well-being of the group.

If a participant endangers the group, they may be removed from the tour without the right to a refund.

16. Special Requests

Special requests, such as diet or room location, must be stated at the time of booking.

Whilst we will do our best to accommodate them, we cannot guarantee them.

17. Medical Issues

If any participant has medical conditions or disabilities, this must be disclosed before making the booking.

We may request a medical certificate.

18. Complaints

If you have any issue during the tour, you must report it immediately to the hotel, the guide or the The Osados team.

If you wish to make a formal complaint, you must do so in writing within a maximum of 14 days after the end of the tour.

19. Start of the Tour

It is the client’s responsibility to be present at the meeting point at the indicated time.

We are not responsible for losses due to:

  • Missed flights
  • Transport delays
  • Late arrivals

20. Flight Delays

We do not offer flights as part of the tour.

Claims for delays or cancellations must be made directly to the airline.

21. Client Behaviour

All clients must behave in a respectful manner.

If a participant’s behaviour affects the group, we may cancel their participation without refund.

22. Equipment

Clients may use their own bicycle or hire one.

Each participant is responsible for:

  • The condition of their bicycle
  • Maintenance
  • Insurance of equipment

23. External Excursions

Excursions booked during the tour with external providers do not form part of the contract with The Osados.

24. Suppliers

Many tour services are provided by independent suppliers who apply their own terms and conditions.

25. Assistance

If you encounter difficulties during the tour, we will provide reasonable assistance, including information on:

  • Medical services
  • Local authorities
  • Consular assistance

26. Transport

The Osados does not sell flights.

Claims relating to transport must be made directly to the relevant company.

27. Use of Images

Photographs or videos may be taken during the tour.

If authorised, The Osados may use them for promotional purposes in printed or digital media.

If you do not wish your images to be used, you must inform us at the start of the tour.
